Follow-up Department
Duties :
These duties will be performed as follows, provided that there would be no infringing or disturbance to the authorities of other boards and agencies that are specialized in monitoring the previous and the following affairs, investigating staff's administrative and financial violations, in general.
1. Perform various monitoring and investigation necessary activities on various ministry's sections and related divisions and units to ensure sound work and performance
2. Executing inspection campaigns on various units and departments of the ministry to discover any negligence or inadequacies in completion of works charged to them for execution. Then, correcting the work path and rectifying the delinquencies in collaboration with the concerned departments and administrative units in the ministry
3. Monitoring the work-flow of the ministry and the units and departments linked to it to ensure that all are in conformity with approved rules and regulations
4. Checking the complaints referred to them according to authority concerning administrative and financial violations
5. Perform the necessary investigations, or participate in the investigations revealed by the monitoring activities of complaints from the public. Also, investigate whatever is forwarded to the office, or received by the ministry, upon proving valid as per the instruction of the minister
6. Participate in the special investigation committees for the staff' violations, as per the instructions of the minister
7. Monitor staff's attendance in various units and departments
8. Communicate with the Monitoring and Investigation Bureau concerning all related activities and presenting this to the minister
9. Develop and strengthen the self-monitoring concept of all staff members of the ministry
10. Organize and file all information, data and other items related to follow-up activities in the ministry in a way that facilitates retrieving and reviewing the same
11. Present proposals that ease and/or improve the work-flow in all ministry's units and administrations
12. Present necessary information about the administration to ministry budget project
13. Propose special administrative procedures to Administrative Development Department for study and authorization. And, propose any developmental steps in this field
14. Prepare periodical reports about the unit's activities, its achievements, and its work development, and giving the comments and recommendations related to work development; preparing monthly and annual statistics about the complaints and violations, classifying them, analyzing them and deducing results and indexes through the special communication program in the follow-up units; and presenting them to the minister.
