Management Communication Center


Duties :

1. Receive all incoming transactions and correspondence and complete their registration in the records and forward them to the appropriate specialized units in the ministry. Seals of confidential and private communiqués must not be broken or removed except by addressees

2. Receive all out-going correspondence and issued communiqués, register them and send them to their addressees

3. Maintain a general folder for a single copy of each out-going communiqué, kept in serial number order

4. Answering all inquiries concerning the incoming and out-going communiqués and provide the various administrations and the authorities with a copy of the filed transactions, upon their request, as per the rules and instructions

5. Lay down the appropriate organization system for the active and inactive ministry’s files. Maintain the closed files and preserve their original forms and prepare copies thereof in collaboration with administrative development unit

6. Organize the handling of the closed files and monitor the ones lent to beneficiary agencies in order to retrieve them as soon as they are finished with them

7. Receive the educational magazines and forwarded books to the ministry and some governmental agencies from the educational offices and send the same to the addresses, inside and outside the ministry

8. Answer visitors’ inquiries and direct them to the appropriate people through an information office managed by the administration

9. Transport and distribute the correspondence inside the ministry

10. Prepare periodic reports on the activities of the center, its achievements and proposals to develop its functions and submit the same to the general director of the administrative and financial affairs
